Privacy Policy - LiveMind

Last updated: 1 October 2026

This policy explains, in plain language, what personal information LiveMind collects, why, who we share it with, how long we keep it, and the choices you have. It applies to livemind.ai, its sub-sites, the LiveMind apps (such as LiveDrive, GoChat, Canvas and Interstellar) and our mobile apps.

The short version

  • Your content is yours. We store what you put into LiveMind so we can provide the service to you: so you can find, search and reuse your own material.
  • We do not train AI models on your content. We don't sell it, and we don't use it to build models for anyone else. If that ever changes, we will ask first and it will be opt-in.
  • To generate AI results, we send what you submit to AI model providers, mostly in the United States.
  • We use a small number of analytics and advertising tools to understand how the site is used and whether our ads work.
  • You can ask us to see, correct, export or delete your information at any time: hello@livemind.ai.

1. Who we are

LiveMind is operated by LiveMind Pty Ltd (ABN 75 672 933 550), an Australian company ("LiveMind", "we", "us"). We are responsible for your personal information under the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles. Where the EU or UK GDPR applies, we are the "controller" of your personal information.

Contact: hello@livemind.ai.

2. What we collect

Information you give us

  • Account details: name, username, email address, password (stored in scrambled, hashed form), profile picture, and optional details such as your industry.
  • Billing details: billing name and address, your subscription and order history, and your Sparks (credit) balance and usage history. Card details are entered directly with our payment processor (Stripe). We never see or store your full card number.
  • Your content: the prompts, messages, documents, files, images, audio, video and links you put into LiveMind, and the results the AI creates for you.
  • Team information: if you create or join a team, the team details and the email addresses of people you invite.
  • Messages to us: feedback, support requests and anything else you send us.

Information collected automatically

  • Usage and device information: pages and features you use, the time and date, your browser and device type, the referring page, and your IP address.
  • Usage records: which AI features and models you use and how many Sparks they cost, so we can bill correctly and keep the service running.
  • Cookies and similar technologies: see section 7.

Information from others

  • Sign in with Google: if you choose it, Google gives us your name, email address and profile picture (see section 8).
  • Advertising and referrals: if you reach us through an ad or a partner's referral link, we receive a reference code so we can credit the ad or partner.
  • Other people's information in your content: your files, messages or meetings may include information about other people. See section 10.

3. How we use your information

  • To provide LiveMind: running your account, storing your content, generating AI results, and letting you search and reuse your own material.
  • To bill you, manage subscriptions and Sparks, and prevent fraud.
  • To keep LiveMind secure and working: fixing bugs, preventing abuse, enforcing our Terms of Service.
  • To improve LiveMind, including making search and retrieval of your own content work better for you. This is not training a general AI model.
  • To understand how LiveMind is used, so we can fix problems and improve it.
  • To communicate with you: service and account emails, and marketing emails if you have agreed to them (you can unsubscribe at any time).
  • To measure how well our website and advertising work.
  • To meet our legal obligations, such as tax and accounting record-keeping.

Where the GDPR applies, our legal bases are: performing our contract with you, our legitimate interests (security, improving the service, measuring ads), your consent (marketing emails and non-essential cookies), and legal obligations.

We do not make decisions that have a legal or similarly significant effect on you based solely on automated processing.

4. AI processing and your content

LiveMind is built on AI models from several providers. When you use an AI feature, the content needed for that request (for example your prompt, the document or image you selected, or audio you recorded) is sent to the relevant AI model provider, which processes it and returns the result to us.

  • We do not use your content to train AI models, and we do not sell your content.
  • We use AI providers' paid business services and choose settings that stop them training on your data wherever those settings are available. Providers may keep request data for a limited time (usually up to 30 days) to detect abuse, under their own terms.
  • Some specialised providers (for example for video generation) have terms that let them use submitted content to operate and improve their own services. Where we can't turn that off, we tell you here, and we are working to limit what we send to them.
  • AI output can be wrong. Please check anything important before you rely on it.

5. Who we share information with

We share personal information only as needed to run LiveMind, with:

  • AI model providers (language, image, video, voice and speech models), to process your requests.
  • Hosting and storage providers: our website and application servers (Kinsta, running on Google Cloud) and our database (Google Firebase).
  • Payment processing: Stripe. As we add payment methods (for example PayPal, Apple Pay, Google Pay or app-store purchases), those providers too.
  • Email services, for account and marketing email.
  • Analytics and advertising: Google (Google Analytics and Google Ads), and Google reCAPTCHA to protect forms from spam.
  • Analytics providers, including session replay tools, to help us understand how LiveMind is used.
  • Tools you choose to use: for example web-browsing, search, scheduling (Calendly) or meeting tools inside LiveMind. These only receive what's needed when you use them.
  • Your team: if you share content with a team or through a link, the people you share with can see it.
  • Professional advisers, authorities and successors: where required by law, to protect our rights or users' safety, or as part of a sale or restructure of our business (in which case this policy continues to apply to your information).

We require our service providers to use personal information only to provide their services to us. We do not sell your personal information.

6. Information sent overseas

LiveMind is an Australian company, but most of our service providers are overseas. Your information is likely to be stored or processed in the United States, and may also be processed in the Netherlands, Singapore and other countries where our providers operate. We take reasonable steps to make sure these providers protect your information. Where the GDPR applies, we rely on appropriate safeguards such as Standard Contractual Clauses.

7. Cookies and analytics

We use cookies and similar technologies to:

  • keep you logged in and remember your settings (essential);
  • understand usage with analytics tools, including session replay;
  • measure advertising: if you arrive from a Google ad, we remember the ad reference for up to 90 days and tell Google when you sign up or buy, so we know whether the ad worked;
  • credit referral partners for people they send us (up to 90 days);
  • test improvements by showing different versions of some pages.

Analytics. We use analytics tools, including session replay, to see how people use LiveMind (for example, which features are used and where people get stuck) so we can fix problems and improve the product. These tools record interactions such as clicks and page views, along with device and browser information. We set them up to leave out passwords, payment details and the text you type, and we don't use this information for advertising or sell it.

Embedded content, such as YouTube videos, may set its own cookies when you view it.

You can block or delete cookies in your browser settings; the essential ones are needed to log in. Where the law requires it (for example for visitors in the EU or UK), we ask for your consent before using non-essential cookies or analytics.

8. Sign in with Google

If you choose to sign in with Google, we receive your name, email address and profile picture from Google. We use them only to create and sign in to your LiveMind account and to show your name and picture in the app. We do not use your Google information for advertising, we do not sell it, and we do not access your Google Drive, Gmail, Calendar or other Google data unless you connect a feature that clearly asks for it. You can remove LiveMind's access at any time in your Google Account settings.

LiveMind's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

9. Marketing emails

With your permission, we may send you news, tips and offers. Every marketing email has an unsubscribe link, and you can also email us to opt out. Service emails, such as receipts and security notices, are sent regardless because they're part of running your account.

10. Information about other people

Some LiveMind features handle information about people other than you. Examples are documents you upload, and meeting assistants that join a meeting to create a recording or transcript. If you use these features, you are responsible for having the right to share that information and for telling people when they are being recorded, as required by law where you are. The people concerned can contact us to exercise their rights (section 13).

11. How long we keep information

  • Your account and content: for as long as your account is open. You can delete individual files and content at any time.
  • After you delete your account: we delete your account and content within 30 days. Copies in our backups are overwritten on a rolling basis and expire within a further 90 days.
  • Billing and tax records: kept for 7 years, as required by Australian law.
  • Analytics data: for a limited period, then deleted.
  • Security and fraud records: only as long as needed for that purpose.

12. Security

We take reasonable steps to protect your information from misuse, loss and unauthorised access. These include encrypted connections (HTTPS), access controls, and optional encryption of your LiveDrive content in your browser. No online service is perfectly secure. If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as the law requires.

Shared links: files you upload or create may be given a web link so they can be shown in pages you build or shared with others. Anyone who has that link may be able to view the file, so only share links with people you trust.

13. Your rights and choices

You can ask us to:

  • access the personal information we hold about you, or get a copy of it;
  • correct information that is wrong (you can also update most details in My Account);
  • delete your account and personal information;
  • stop marketing emails.

If the GDPR applies to you, you can also object to or restrict certain processing, ask us to transfer your information to you or another service, and withdraw consent at any time. If you live in California or another US state with privacy laws, you have similar rights to know, delete and correct; we do not sell or "share" your personal information for cross-context behavioural advertising as those laws define it, and we will not treat you differently for exercising your rights.

To make any request, email hello@livemind.ai from the email address on your account. We will respond within 30 days, and we may need to verify your identity first.

14. Age limit

LiveMind is for people aged 18 and over. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.

15. Changes to this policy

We may update this policy as LiveMind changes. We will change the "last updated" date above and, for significant changes, let you know by email or in the app before they take effect.

16. Questions and complaints

If you have a question or complaint about privacy, email hello@livemind.ai. We will reply within 30 days. If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC). If you're in the EU or UK, you can also complain to your local data protection authority.
